With the Projectfinanciën & Nacalculatie (Project finance & post-calculation) add-on (€99 per month per company) you see how each project is doing financially. You compare budgeted and actual costs of hours, materials, production, transport and assembly and see straight away where a project runs over budget. You find everything in the Projectfinanciën (Project finance) menu. All amounts exclude VAT, except payments received. The Beamcore interface is in Dutch, so button and menu names are shown in Dutch with a translation.
Who can see it
Revenue, margins and staff costs are not for every employee. That is why by default only the admin role has the two Project finance rights:
- Projectfinanciën bekijken (View project finance): see contract value, revenue, costs and margins.
- Projectfinanciën beheren (Manage project finance): change budgets, cost entries, extra and reduced work and the settings.
You can also give these rights to a role of your own. You only see labour costs if you also have the right to see salary, hourly wage and cost rate (Administratie (Administration) add-on). Without that right, only materials and registered costs count.
The tiles
Go to Projectfinanciën → Dashboard (Project finance → Dashboard). At the top are the key figures of your running projects:
- Contractwaarde lopende projecten (Contract value of running projects): from the accepted quotes, plus approved extra and reduced work. You also see how many projects have no accepted quote yet.
- Gefactureerde omzet (Invoiced revenue): sent invoices minus credit notes, with what is still to be invoiced.
- Ontvangen betalingen (Payments received): including VAT. Invoicing is not yet a payment.
- Werkelijke kosten tot nu toe (Actual costs so far): booked hours at the cost rate, issued materials and registered costs.
- Marge afgeronde projecten (Margin on completed projects): the margin across your completed projects with a contract value and costs.
- Budgetoverschrijding of te lage marge (Over budget or margin too low): how many projects are red, and how many are nearing the warning limit.
The table per project
Below the tiles you see per project the Nummer (Number), Project, Opdrachtgever (Client), Status, Contractwaarde (Contract value), Gefactureerd (Invoiced), Ontvangen (incl. btw) (Received, incl. VAT), Werkelijke kosten (Actual costs), Begrote kosten (Budgeted costs), Financiële status (Financial status) and Verwacht resultaat (Expected result). Filter with Projectstatus (Project status, by default the running projects) and Opdrachtgever (Client). Click a row to open the project.
A running project never shows the costs so far as profit. The expected result is the contract value minus the actual costs and what is still to come according to the approved budget. Without an approved budget you see Onvolledig: begroting nodig (Incomplete: budget needed).
The financial status
Each project gets a colour with a short explanation:
- Red: over budget, or the expected margin is below the minimum margin.
- Orange: the costs reach the budget warning limit, the margin is below the standard profit margin, the expected final costs exceed the budget, or there is extra or reduced work that has not been approved yet.
- Green: within budget.
- Without a budget and margin you see Niet te beoordelen: begroting nodig (Cannot be assessed: budget needed).
You set the limits yourself under Projectfinanciën → Instellingen (Project finance → Settings).
