Annotations belong to the version of the PDF on which they were placed. When a new version arrives, you can carry over the points that are still open. And if you want to use the comments outside Beamcore, you download a PDF in which they are included. The Beamcore interface is in Dutch, so button and menu names are shown in Dutch with a translation.
When you see Annotaties overzetten
The button Annotaties overzetten (Carry over annotations) is next to a file under Documenten (Documents), in the list Bestanden (Files). It only appears if all three conditions are met:
- the file has at least two versions;
- there is at least one open annotation on an older version;
- the project is not locked.
Carrying over annotations to the new version
- First upload the new version of the PDF. See Managing file versions.
- Click Annotaties overzetten next to the file.
- Under Welke open annotaties wil je overnemen? (Which open annotations do you want to carry over?), tick the points you want to take along. For each point you see the number, the page and the start of the text.
- Confirm your choice. You get a message with the number of annotations carried over.
What exactly is carried over
Beamcore makes a copy of each chosen annotation on the latest version. That copy contains:
- the shape and the position on the page;
- the page number;
- the text of the comment;
- the original author.
This is not carried over or changes:
- Replies to the annotation do not come along. The copy starts without replies.
- The copy gets a new sequence number.
- Resolved annotations are not offered.
- Only annotations of the directly preceding version are copied. Points from even older versions may appear in the selection list, but are skipped.
The position is carried over exactly. If the layout of the page has changed in the new version, check whether each annotation is still in the right place.
The original continues to exist and does not change. In the viewer you see all annotations of the file, so both the original and the copy. If you only want to keep the copy, mark the original as resolved.
Downloading an annotated PDF
- Click Annoteren (Annotate) next to the PDF to open the viewer.
- Click Geannoteerde PDF (Annotated PDF) at the top right.
- Wait until the button no longer shows Bezig met renderen (Rendering). The download starts by itself.
The file gets the name of the file in Beamcore, followed by _annotated and the version number.
What is in the PDF
- The pages of the latest version, with the shapes drawn on them, the number of each annotation and the text of the comment next to the shape.
- At the back an overview with the title Annotaties + comments (Annotations + comments). For each annotation it lists the number, the page, the text, the replies with the name of who replied, and the author with date and time. Handled points are marked opgelost (resolved).
The PDF contains all annotations of the file, including the resolved ones. The toggle Opgeloste annotaties tonen (Show resolved annotations) in the viewer does not change that. Everyone who is allowed to view the file can download the annotated PDF.
The annotated PDF is a snapshot. If annotations or replies are added afterwards, download it again. The original in Beamcore remains unchanged: the download is not saved as a new version.
