All files of a project are on the Documenten (Documents) tab of the project page. There you will find the sections Mappen (Folders) and Bestanden (Files). This article explains how to create folders, how to upload files and which files you can open without downloading them. The Beamcore interface is in Dutch, so button and menu names are shown in Dutch with a translation.
Default folders
Every new project automatically gets the folder Basis gegevens (Basic data). This is a system folder: you cannot rename or delete it. If you want every new project to start with more folders, set them up via Bedrijf → Bedrijfsinstellingen (Company → Company settings), tab Tekeningen & mappen (Drawings & folders), under Standaard mappen per project (Default folders per project). Type a name, press Enter and click Standaard mappen opslaan (Save default folders). Existing projects do not get these folders afterwards.
Creating a folder
- Open the project and go to the Documenten tab.
- Under Mappen, click Nieuwe map (New folder).
- Enter a Naam (Name).
- Do you want a subfolder? Then choose under Hoofd-map (optioneel) (Parent folder, optional) the folder it should go under. If you leave the field empty, it becomes a top-level folder.
You recognise a subfolder in the list by the line Submap onder (Subfolder of), and under Bestanden by the full path in the tab of the folder. Creating folders requires the permission Map aanmaken (Create folder). By default the roles admin, tekenaar (draughtsman) and klant (customer) have that permission. Renaming or moving requires the permission Map hernoemen / volgorde wijzigen (Rename folder / change order), by default for admin and tekenaar.
Uploading files
- Under Bestanden, click Bestanden uploaden (Upload files).
- Under Map (Folder), choose where the files should go. With + Nieuwe map maken (+ Create new folder) you create a folder on the spot and fill in Naam nieuwe map (Name of new folder).
- Drag your files to Bestanden or select them.
- Click Uploaden (Upload).
You can upload a maximum of 10 files at a time, each up to 1 GB. If the project is locked, the upload button is not visible. If you upload a file with the same name as a file that is already in that folder, Beamcore can turn it into a new version. You can read how that works in Managing file versions.
Notifying project members
In the upload window, the toggle Projectleden op de hoogte stellen (Notify project members) is on by default. The recipients then receive an email and a notification, and the message is kept under Berichten (Messages) with the files as attachments. You can enter an Onderwerp (optioneel) (Subject, optional) and a Bericht (optioneel) (Message, optional) yourself. If you leave them empty, Beamcore uses a default text.
Under Versturen naar (Send to) you choose Alleen klant (Customer only) or Klant en aannemer (Customer and contractor). The team always receives the message. As the uploader you do not get a notification yourself. Switch the toggle off if you want to upload silently.
Viewing in the browser
With Bekijken (View) you open the latest version of a file in a window. The button Volledig scherm (Full screen) enlarges the view. A preview is available for:
- images (png, jpg, jpeg, gif, webp, bmp, svg);
- PDF files;
- text files (txt, csv, log, md), of which the first 100,000 characters are shown;
- DWG drawings, see Viewing DWG drawings in the browser;
- IFC models, see Viewing IFC models.
For all other types you see the message Preview niet beschikbaar voor dit bestandstype (Preview not available for this file type) with the button Downloaden (Download). So you open those files on your own computer.
Reading the file list
For each file the list shows the Naam, Map, Versie (Version), the Bestandstype (File type), the Grootte (Size) and the Laatste upload (Last upload). The column Opmerkingen (Comments) shows whether there are annotations: Geen (None), the number that is still open, or Opgelost (Resolved). With the tabs above the list you filter by folder.
