On every PDF file in a project you can place comments at the spot they are about. Colleagues, customers and other project members reply in the same view. That way the discussion stays with the drawing and not in separate emails. The Beamcore interface is in Dutch, so button and menu names are shown in Dutch with a translation.
Opening the viewer
In the project, go to Documenten (Documents) and under Bestanden (Files) click Annoteren (Annotate) next to a PDF. The viewer opens in a new tab and always shows the latest version. At the top are the file name and the version number. The button Annoteren is only there for PDF files.
Tools
- Selecteer (Select): click one of your own annotations to change the text.
- Pin: click a point to put a numbered comment there.
- Rechthoek (Rectangle): drag a frame around an area.
- Pijl (Arrow): drag from start to end to point at something.
- Marker (Highlighter): drag a semi-transparent area over a region.
- Vrije lijn (Freehand line): draw freehand.
After a pin, rectangle, arrow or highlighter a text box appears. Type your comment and press Enter or click Opslaan (Save). With Esc or Annuleren (Cancel) the shape is discarded. A freehand line is saved immediately without text and is not shown in the sidebar. You delete your own freehand line with the cross next to the line.
Next to the tools you choose from six colours: red, orange, yellow, green, blue and purple. With Draaien (Rotate) you rotate the whole PDF a quarter turn. The annotations rotate along.
Adjusting the view
- Comments op tekening tonen (Show comments on drawing) is on by default and puts the text of each comment next to the shape. Switch it off for a calmer view.
- Opgeloste annotaties tonen (Show resolved annotations) is off by default. Switch it on to see handled points again.
Replying and resolving in the sidebar
On the right is the list Annotaties (Annotations). Each annotation shows the number, the name of the author, the text and the replies. For each annotation you can:
- reply via the field Schrijf een reactie en druk op Enter (Write a reply and press Enter);
- close the point with Markeer opgelost (Mark as resolved), or open it again with Heropenen (Reopen);
- change the text by clicking it, or remove the annotation with Verwijder (Delete).
Everyone who is allowed to view the file can place annotations, reply and resolve or reopen points. Editing and deleting is only possible for your own annotations that are still open. For resolved annotations or those of someone else you need the permission Resolved of andermans annotaties bewerken (Edit resolved annotations or those of others). By default the role admin has it.
Draft and sending
An annotation is saved immediately as soon as you confirm it. Other project members see it straight away in the viewer and get a notification in Beamcore. What does not happen yet is an email. That way you can calmly go through a whole drawing without everyone getting an email per comment.
- Place all your annotations.
- Click Versturen (Send) at the top right.
The project members then receive one email with the number of new notes and a link to the viewer. Users of the Beamcore app also get a push notification. If you click again without new annotations, nothing is sent. With Concept sluiten (Close draft) you go back to the project without sending an email. Your annotations remain.
Who gets a notification
- New annotation and Versturen: the users who are linked to the project and the customer of the project, except yourself.
- Reply: the author of the annotation and everyone who replied to that point earlier.
- Markeer opgelost: the author of the annotation.
