A file in Beamcore can have several versions. The latest version is always the one you view, annotate and download. Older versions are kept and you can retrieve them at any time. The Beamcore interface is in Dutch, so button and menu names are shown in Dutch with a translation.
Adding a new version
- Open the project and go to Documenten (Documents).
- Under Bestanden (Files), click Nieuwe versie (New version) next to the file.
- Choose the new file. It can be up to 1 GB in size.
- Decide whether you want to inform the project members with Projectleden op de hoogte stellen (Notify project members). That toggle is on by default.
- Click Versie toevoegen (Add version).
The column Versie (Version) in the list jumps to the next number, for example from v1 to v2. The name of the file in the list stays the same, even if the new version has a different file name.
Who can add a version
You only see the button Nieuwe versie on files of which you uploaded all versions yourself. That way nobody can overwrite someone else's work via that button. The same applies to Verwijderen (Delete). If the project is locked, both buttons are hidden.
Uploading with the same file name
You can also add a version via the normal upload. If you use Bestanden uploaden (Upload files) to upload a file that has exactly the same file name as the current version of a file in the same folder, it becomes a new version of that file. Upper and lower case make no difference here, the extension does count.
- Team members (admin and users with the role tekenaar (draughtsman) on the project) add a version this way to any file in the folder, even if someone else uploaded it.
- Users with the role klant (customer) or aannemer (contractor) only do so on files of which they uploaded all versions themselves. In other cases a second, separate file with the same name is created.
- If the file is in a different folder, it always becomes a new file.
If you deliberately want to keep two separate files with the same name, put them in different folders or give them a different file name.
Viewing the version history
Click Versies (Versions) next to a file. You see all versions listed one below the other, with for each version:
- the version number, with the current version marked in green;
- the original file name;
- who uploaded the version and when;
- the file size;
- a link Download to fetch exactly that version.
Everyone who is allowed to see the file can view and download all versions.
What is kept
A new version does not replace the old one. Each version remains stored as its own file. You cannot make an older version the current one again. If you need an old version again, download it via Versies and upload it as a new version.
If you delete a file with Verwijderen, all versions disappear at once. Deleting individual versions is not possible.
Versions and annotations
Annotations on a PDF belong to the version on which they were placed. After a new version you can copy open annotations to that version. See Carrying over annotations and downloading an annotated PDF.
