Besides the portal there is the Beamcore mobile app. Who may use it is arranged with app access. Every approved access uses an app licence, and the number of licences depends on your subscription. This article explains how to grant access, assess requests and free up licences again. The Beamcore interface is in Dutch, so button and menu names are shown in Dutch with a translation.
How many licences you have
Every subscription includes a number of app licences:
- Starter: 2 app licences
- Groei: 5 app licences
- Pro: 10 app licences
- Enterprise: 20 app licences
If you need more, you expand with the Extra app-licenties (Extra app licences) add-on. It costs €12 per licence per month and adds to what your subscription already includes.
The app access page
Go to Bedrijf → App-toegang (Company → App access). You see this page as owner, or with the Abonnement + add-ons zelf wijzigen (Change subscription + add-ons yourself) permission. By default the admin role has that permission.
At the top are three tiles:
- App-licenties (App licences): how many are in use, and out of how many.
- In afwachting (Pending): the number of requests you still have to assess.
- Vrije licenties (Free licences): how many you can still assign.
Below that is the list of open requests and approved users, with name, email address, status, device and the time of the request. The status is In afwachting or Goedgekeurd (Approved).
Granting someone access yourself
- Click Gebruiker toevoegen (Add user).
- Choose the person under Gebruiker (User). The list shows users of your company who do not have app access yet.
- Click Toegang geven (Grant access).
The user can log in to the app straight away and gets a notification about it. If they already had a request of their own pending, it is approved. So they do not use two licences.
Anyone you invite via Bedrijf → Gebruikers (Company → Users) gets approved app access immediately with the invitation. That uses a licence too.
Assessing requests
A user can request access themselves from the app. A request applies per device: the Apparaat (Device) column shows which device it concerns. The owners of your company get a notification in Beamcore, and a counter appears next to App-toegang in the menu.
- Goedkeuren (Approve): the user gets access and a notification that it worked. This uses a licence.
- Afkeuren (Reject): the request disappears from the list and the user does not get access.
You confirm both actions first.
Revoking access
An approved user has the Intrekken (Revoke) action. The user loses their app access and the licence becomes available for someone else. They can request access again afterwards. Their account and their access to the portal remain.
When the limit is reached
If all licences are in use, the page shows a message that the limit has been reached. Approving or adding then fails: Beamcore reports that there is no free app licence left. Inviting a new user is then refused as well.
You have three options:
- revoke access from someone who no longer uses the app;
- expand the Extra app-licenties add-on via Bedrijf → Abonnement (Company → Subscription);
- switch to a larger subscription.
Beamcore only blocks new assignments. Anyone who is already approved keeps their access. You can read more about inviting in Inviting users.
