Everyone who works with your office logs in to the same portal: colleagues, customers and contractors. What someone may do there depends on their role. Which projects they see depends on the projects they are linked to. Those are two separate things, and it helps to keep them apart. The Beamcore interface is in Dutch, so button and menu names are shown in Dutch with a translation.
The four default roles
Every company starts with four roles. You will find them under Bedrijf → Rollen (Company → Roles), written in lower case as shown below. You can change them, but not delete them.
- admin: manages the company. Creating, editing and deleting projects, linking users to projects, managing the schedule, managing customers, managing users and roles, changing company settings and branding, changing the subscription, sharing files and managing shared links. If your company has the relevant add-on, quotes and invoices, time tracking and timber stock are added to that.
- tekenaar (draughtsman): works in the projects they are linked to. Viewing projects, changing the project status, viewing and managing the schedule, viewing and uploading files, creating folders, viewing customers, logging hours and sharing files via a link. No management of users, roles or company settings.
- klant (customer): sees their own projects, views the schedule, views and uploads files and can give a satisfaction score. With the Offertes & Facturatie (Quotes & Invoicing) add-on, a customer can also view the quotes that were sent to them and accept or reject them.
- aannemer (contractor): the narrowest role. A contractor sees the projects they are linked to and the messages that are also addressed to the contractor. By default they have no access to project files and no customer data.
All four roles may take part in the roadmap under Productideeën (Product ideas): submitting ideas, voting and commenting.
The owner
Owner is not a role but a flag per user. Under Bedrijf → Gebruikers (Company → Users) the Eigenaar (Owner) column shows who it is. An owner passes every permission check within the company, regardless of their role, and sees all of the company's projects. You do not set the flag yourself in the portal.
Which projects someone sees
The project list is based on links, not on role:
- An owner sees all of the company's projects.
- Everyone else only sees the projects they are linked to, or of which they are the customer. That also applies to an admin.
- Anyone who creates a project is linked to it automatically.
The role then determines what someone may do within such a project. So a tekenaar and a klant can see the same project and still be able to do very different things in it. How to link people is explained in Linking customers and contractors to a project.
Assigning or changing a role
- Go to Bedrijf → Gebruikers.
- Click Openen (Open) next to the user.
- Under Rechten (Permissions), choose one or more roles in the Rollen (Roles) field and save.
You need the Gebruiker bewerken (Edit user) permission for this. With the Rol (Role) filter above the list you can quickly find all customers or all contractors.
No default role fits?
Then you create a custom role with exactly the permissions you need. That is covered in Creating custom roles.
