The four default roles cover most situations. Sometimes you want something in between: a work planner who does manage the schedule but not users, or a colleague who only makes quotes. For that you create a custom role under Bedrijf → Rollen (Company → Roles). The Beamcore interface is in Dutch, so button and menu names are shown in Dutch with a translation.
Who can manage roles
You see the Rollen menu with the Rollen zien (View roles) permission. Creating, editing and deleting are separate permissions in the Gebruikers & rollen (Users & roles) group. By default the admin role has all of them. An owner is always allowed.
Creating a role
- Go to Bedrijf → Rollen and click Nieuwe rol (New role).
- Enter a short name under Naam (Name). Only lower-case letters, digits, the hyphen and the underscore are allowed, for example werkvoorbereider. The name must be unique within your company.
- For each group, tick the permissions that belong to the role. You can expand and collapse each group.
- Click Aanmaken (Create).
The Guard field is fixed and you do not need to change it.
The permission groups
The permissions are grouped by part of Beamcore. The groups you will need most often:
- Projecten (Projects): view the list, view, create, edit, delete, view project members, manage users, change status, lock and unlock.
- Planning (Schedule): view the schedule and manage the schedule.
- Medewerkers (Employees): manage employees, rosters and absence.
- Projectsjablonen (Project templates): view, create, edit and delete templates.
- Project-bestanden (Project files): view, upload, edit and delete files, create, rename and delete folders, and manage folder access per role.
- Annotaties (Annotations): edit resolved annotations or those of someone else.
- Bestanden delen (Share files): share files via a link and manage or revoke shared links.
- Klanten (Customers): view, create, edit and delete customers, and link customer users.
- Project-aanvragen (Project requests): submit, view, approve or reject a request.
- Offertes (Quotes) and Facturen (Invoices): from viewing and drafting to sending, recording a payment and creating a credit note.
- Urenregistratie (Time tracking): view and log hours, edit other people's hours and approve or reopen timesheets.
- Houtvoorraad (Timber stock): view or manage stock, material planning and orders.
- Klanttevredenheid (Customer satisfaction): fill in a satisfaction survey.
- Productideeën (roadmap) (Product ideas (roadmap)): view and submit ideas, vote on them and comment.
- Bedrijfsinstellingen (Company settings): view and edit settings, change the branding and manage email templates.
- E-mail (Email): view sent emails.
- Facturatie (Billing): manage the direct debit and change the subscription and the add-ons.
- Gebruikers & rollen: view, create, edit and delete users and roles.
A permission only gives access to something your company actually has. Permissions for quotes, invoices, time tracking or timber stock only do something once the relevant add-on is active.
Note one dependency: if you tick Gebruikers beheren (Manage users) under Projecten, Beamcore automatically saves Projectleden bekijken (View project members) along with it.
Changing a role
Click Openen (Open) in the list. At the top of the page are Alles activeren (Enable all) and Alles deactiveren (Disable all) to tick or clear all boxes in one go. Nothing changes until you save. The change applies to everyone with that role.
You can change the default roles admin, tekenaar (draughtsman), klant (customer) and aannemer (contractor) but not delete them. A custom role you can delete. In the list, the Gebruikers (Users) column shows per role how many people have it and the Permissies (Permissions) column shows how many permissions it contains.
Assigning the role to a user
- Go to Bedrijf → Gebruikers (Company → Users) and click Openen next to the user.
- Add the role in the Rollen field. A user can have several roles.
- Save.
Your custom role is also in the selection list when you invite someone. Which projects someone sees does not change because of a role. That runs through the link to projects, see Roles and permissions.
