You add new people under Bedrijf → Gebruikers (Company → Users). You can invite someone individually or a whole group in one go. What the recipient gets depends on two things: whether they already have a Beamcore account, and whether you entered their name. The Beamcore interface is in Dutch, so button and menu names are shown in Dutch with a translation.
Inviting one person
- Go to Bedrijf → Gebruikers and click Gebruiker aanmaken (Create user).
- Enter the E-mailadres (Email address).
- Under Rechten (Permissions), choose one or more Rollen (Roles). If you choose nothing, the user gets the klant (customer) role.
- Click Aanmaken (Create).
You need the Gebruiker aanmaken permission for this. Assigning roles is only possible with the Gebruiker bewerken (Edit user) permission.
What the recipient gets
- The address already has an account: the recipient gets an invitation by email and chooses whether to accept or decline. Only after accepting do they belong to your company.
- New address, with name: the account is created straight away. The recipient gets a welcome email with a temporary password.
- New address, without name: the recipient gets a registration link and chooses their own name and a password of at least 8 characters there. The account only exists after that.
With Gebruiker aanmaken you do not enter a name. So a new address always gets the registration link there. You can supply a name with Meerdere uitnodigen (Invite multiple).
Inviting multiple people
- Click Meerdere uitnodigen.
- For each row, enter E-mail (Email), optionally Naam (Name), and the Rol (Role). The role is set to klant by default.
- Add rows with + Persoon toevoegen (+ Add person).
- Leave Mail nu (Email now) on if the person should be notified straight away. If you switch it off, the user is created silently and you email them later.
- Click Uitnodigen (Invite).
Afterwards a notification shows how many people were emailed and how many were created silently. Addresses that could not be processed are listed as skipped. That happens, for example, when there is no free app licence left: every invited user gets app access and uses a licence for it. More about that in App access and app licences.
Sending a welcome email
For users who have never logged in, the list shows the Welkomstmail versturen (Send welcome email) action. With it you send a new welcome email with a new temporary password. The previous password no longer works after that. You need the Gebruiker bewerken permission for this. Useful for silently created accounts or when the first email has gone missing.
Managing invitations
Under Bedrijf → Uitnodigingen (Company → Invitations) there are two tabs:
- Ontvangen (Received): invitations to your own email address, with the actions Accepteren (Accept) and Weigeren (Decline). Every user has this tab.
- Verstuurd (Sent): what your company has sent. You see this tab with the Gebruiker aanmaken permission.
An invitation is valid for 14 days. The expiry date is in the Vervalt (Expires) column. The status is Pending, Geaccepteerd (Accepted), Verlopen (Expired) or Ingetrokken (Revoked). For an open invitation you can:
- Opnieuw sturen (Resend): the email goes out again. This is possible at most once every 5 minutes per invitation.
- Intrekken (Revoke): the link in the email no longer works after that. You can send a new invitation later.
An account you created with a name is listed here as Geaccepteerd straight away: that person does not have to confirm anything.
