Linking customers and contractors to a project

Robin van Maasakker · 13 Oct 2026

A customer or contractor only sees a project once they are linked to it. You arrange that on the project itself. The user's role then determines what they may do there. This article shows how to link, how to invite someone directly and what the difference between customer and contractor is in practice. The Beamcore interface is in Dutch, so button and menu names are shown in Dutch with a translation.

Linked users on a project

Open the project and go to the Samenwerking (Collaboration) tab. Below the messages is the Gekoppelde gebruikers (Linked users) block, showing name, email address and role for each person.

You see this block with the Projectleden bekijken (View project members) permission. Linking and unlinking is possible with the Gebruikers beheren (Manage users) permission. By default only the admin role has these permissions, and an owner is always allowed.

Linking an existing user

  1. Click Gebruiker koppelen (Link user).
  2. Search by name or email address. The role is shown after each name.
  3. Confirm your choice.

The list shows the users of your company who are not yet attached to this project. Owners are not in it, because they already see all projects. The linked user gets a notification that they have been added to the project.

You can also select users in the Gekoppelde gebruikers field when you create or edit a project.

Inviting a new user

  1. Click Gebruiker uitnodigen (Invite user).
  2. Enter Naam (Name) and E-mailadres (Email address).
  3. Under Rol binnen het bedrijf (Role within the company), choose for example klant (customer) or aannemer (contractor). If you leave the field empty, it becomes klant.
  4. Click Uitnodigen (Invite).

If the email address is new, the account is created straight away, the person gets a welcome email with a temporary password and they are linked to the project immediately.

If the address already has a Beamcore account, the person only gets an invitation by email and is not yet linked to the project. If they are already in your user list, use Gebruiker koppelen. If they come from another company, wait until they have accepted the invitation and link them afterwards.

Unlinking someone

Click Ontkoppelen (Unlink) in the user's row. Their access to this project ends immediately. The account itself remains.

Users at a customer

Under CRM → Klanten (CRM → Customers) every customer has a Gebruikers (Users) tab. There you record which people belong to that customer company:

  • Bestaande gebruiker koppelen (Link existing user): choose a user and optionally fill in Functie (Job title) and Primair contactpersoon (Primary contact).
  • Nieuwe gebruikers uitnodigen (Invite new users): for each row, enter name, email address, role, job title and whether it is the primary contact. With Mail nu (Email now) you decide whether the person gets an email straight away. Finish with Uitnodigen + koppelen (Invite + link).

This link determines, among other things, which people can view the quotes sent to that customer. Do not rely on it for the project list: there someone only sees a project if they are also linked on the project itself. So always link the contact person there as well.

Customer or contractor: the difference in practice

  • Files: a customer can view and upload project files. A contractor has no access to the files by default.
  • Messages: a customer sees all conversations of the project and can start one themselves. A contractor only sees conversations that were sent to Klant en aannemer (Customer and contractor) and can only reply.
  • Schedule: a customer also has the Planning (Schedule) menu. A contractor only sees the schedule within the project.
  • Quotes: a customer can view sent quotes and accept or reject them, if your company has the Offertes & Facturatie (Quotes & Invoicing) add-on. A contractor cannot.

A detailed overview from the customer's point of view is in What your customer sees and can do in the portal.
