Client portal

What your customer sees and can do in the portal

Robin van Maasakker · 13 Oct 2026

Your customer and your contractor log in to the same portal as you, but see a much smaller part of it. This article describes the portal through their eyes, so you can explain it in a few sentences. We assume the default roles klant (customer) and aannemer (contractor). If you have changed those roles, things may differ for you. The Beamcore interface is in Dutch, so button and menu names are shown in Dutch with a translation.

Logging in

An invited user logs in with their email address and password. How they get that password depends on the invitation: they received a welcome email with a temporary password, or a link with which they chose a name and password themselves. If they have lost their password, they request a new one on the login page. The variants are described in Inviting users.

Which projects are visible

A customer or contractor only sees the projects they are linked to. They do not see projects of other clients, not even their names. If your customer is missing a project, check on the project under Samenwerking (Collaboration) whether they are listed under Gekoppelde gebruikers (Linked users).

What a customer can do

  • Follow the schedule: the Planning (Schedule) tab of the project shows the parts with start and delivery date and the progress. Via the Planning menu they see the schedule of their projects together.
  • View and download files: on the Documenten (Documents) tab, per file with Bekijken (View) and Download, or everything at once with Alles downloaden (ZIP) (Download all (ZIP)). Earlier versions are under Versies (Versions).
  • Submit files: with Bestanden uploaden (Upload files), as long as the project is not locked. For their own files they can upload a Nieuwe versie (New version) or delete the file.
  • Give feedback on a PDF: PDF files have the Annoteren (Annotate) action. With it they place comments on the document itself.
  • Send messages: start a conversation and reply, with attachments. See Messages per project.

A folder can be hidden for certain roles. If your customer does not see a file, check whether their role is excluded for that folder.

What a contractor can do

The contractor deliberately has a narrow role:

  • They see the project with the overview and the schedule of the parts.
  • By default they have no access to the project files and therefore do not see the Documenten tab.
  • They only see conversations that were sent to Klant en aannemer (Customer and contractor). They can reply to those, but cannot start a conversation themselves.

If you do want to show files to a contractor, share them via a link or give them a role with file permissions. See Sharing files via a link and Creating custom roles.

Quotes

If your company has the Offertes & Facturatie (Quotes & Invoicing) add-on (€59 per month), a customer also sees the Offertes & facturen (Quotes & invoices) menu group. Under Offertes (Quotes) are the quotes that were sent to them or to their customer company. They can view these and accept or reject them. They do not see drafts. Without the add-on this part is not there.

Requesting more time for a deadline

Whoever has to carry out a part from the schedule gets a reminder by email two working days before the deadline. That can also be your customer, if the part is assigned to them. The email contains the Meer tijd aanvragen (Request more time) button. The link works for 14 days and does not require a login.

  1. The recipient enters how many extra working days they need, from 1 up to and including 30. Weekend days do not count.
  2. They give a reason.
  3. They click Vraag indienen (Submit request).

Where possible, Beamcore absorbs the extra days in the parts that come after. If that does not fully work, the requester first has to agree that the delivery date of the project moves back. After that the schedule is updated immediately. Keep this in mind when assigning parts to the customer.

Sharing satisfaction after delivery

If a project has the status Afgerond (Completed) or Gearchiveerd (Archived), a customer finds the Tevredenheid delen (Share satisfaction) action in the project list under Meer acties (More actions). They give a score from 0 up to and including 10 to the question of how likely they would be to recommend you, with an optional explanation. That is possible once per project. Contractors do not have this action by default.
