Creating and setting up a project

Robin van Maasakker · 13 Oct 2026

A project is the place where the planning, documents and messages of a single job come together. You create it from the project list and fill in the planning in the same form. This article walks through the form from top to bottom. The Beamcore interface is in Dutch, so button and menu names are shown in Dutch with a translation.

Starting a new project

  1. Go to CRM → Projecten (CRM → Projects).
  2. Click Nieuw project (New project) at the top right.
  3. Fill in the sections Project and Planning onderdelen (Planning parts) and save the project.

You only see the Nieuw project button if your role has the permission to create projects. An owner can always do so.

The Project section

  • Naam (Name): required.
  • Projectnummer (Project number): if you leave this empty, the project automatically gets a number made up of the year and a sequence number. If you keep your own numbering, enter the number yourself. A number can only occur once within your company.
  • Klant (Customer): choose an existing customer or create one directly using the plus icon. Archived customers are not in the list.
  • Gekoppelde gebruikers (Linked users): everyone who gets access to this project. If someone is not listed, invite that person using the plus icon with a name, email address and role. As the creator, you are linked automatically.
  • Status and Prioriteit (Priority): Concept (Draft) and Normaal (Normal) by default. Read more about this in Project statuses and priority.
  • Startdatum (Start date): required and set to today by default. The parts are planned forward from this date.
  • Einddatum (End date): an optional target date. The actual end date follows from the parts.
  • Omschrijving (Description) and Projectfoto (Project photo): optional. If you do not choose a photo, Beamcore uses the first image that is uploaded to the project.

Note: as soon as a file has been uploaded to the project, Naam and Klant are fixed permanently. So check those two before you add documents.

Setting up the planning parts

The Planning onderdelen section is already filled with your default project planning. Here you adjust the list for this one project.

  • If your company has active project templates, you choose a template under Sjabloon (bouwtype) (Template (building type)). The parts of that template are then loaded. The folders and default documents of the template come along as soon as you save the project.
  • For each part you fill in Naam, Werkdagen (Working days) and Toegewezen aan (Assigned to). Under Toegewezen aan you can only choose from the people you selected under Gekoppelde gebruikers.
  • Use Onderdeel toevoegen (Add part) to add a row. You can also drag, duplicate or delete parts.

On saving, Beamcore plans the parts one after another from the start date. Saturday and Sunday do not count. You only see this section when creating the project. After that you manage the parts on the Planning tab of the project, see Adding, completing and reopening planning parts.

When the project quota is full

Every subscription has a maximum number of projects per year: 25 on Starter, 75 on Groei and 200 on Pro. Enterprise has no maximum. Beamcore counts the projects you created in the current contract period.

Once the maximum has been reached, the Nieuw project button disappears and a red notice Projectenquotum bereikt (Project quota reached) appears above the project list with the number of projects used. You can create projects again as soon as your subscription has been upgraded or a new contract period starts. Restoring a deleted project also only works if there is still room in the quota.
