On the Planning page, all your projects are listed with their parts, one below the other on a single timeline. This lets you see at a glance what is running, what is coming up and what is past the deadline. You can also download the same planning as a PDF. The Beamcore interface is in Dutch, so button and menu names are shown in Dutch with a translation.
Opening the page
Go to CRM → Planning. You need the permission Planning bekijken (View planning) for this. An owner sees all projects of the company. All other users see the projects they are linked to.
At the top there are four tiles: Actieve projecten (Active projects), Geplande taken (Planned tasks), Taken verlopen (Tasks overdue) and Taken afgerond (Tasks completed). They count exactly the projects and parts that you see in the timeline at that moment.
Reading the timeline
In the Tijdlijn (Timeline) view, each project has its own bar, with a row per part below it. On the left are the project name, the progress and the names of the parts. Click a project to open it.
- The colour of the project bar follows the project status. A project that is Over de deadline (Past the deadline) stands out extra.
- Parts have the colour of their status: Open, Bezig (In progress) or Klaar (Done). A part that is past the deadline turns red.
- A vertical line marks Vandaag (Today).
- If a project is overrunning, you can show or hide the expected overrun with Prognose aan (Forecast on) or Prognose uit (Forecast off). With Oorspronkelijk aan (Original on) or Oorspronkelijk uit (Original off) you do the same for the original planning of parts that have been moved. These buttons only appear if there is something to show.
With Periode (Period) you choose the time span: Komende 3 maanden (Next 3 months), Komende 6 maanden (Next 6 months), Komende 12 maanden (Next 12 months), Dit jaar (This year) or Hele project (Whole project). With Status you limit the timeline to projects with a single status.
Working days instead of calendar days
Beamcore plans in working days, from Monday to Friday. The timeline therefore only shows working days: Saturday and Sunday do not appear in it. So a part of five working days that starts on a Wednesday runs on into the following week. Start and delivery dates that would fall at the weekend are moved to a working day. Public holidays are not skipped separately.
Adjusting a part from the timeline
With the permission Planning beheren (Manage planning) you can adjust parts directly in the timeline.
- Click a part to open the Onderdeel bewerken (Edit part) window. There you change the Aantal werkdagen (Number of working days) or choose Markeer als afgerond (Mark as completed). Completing is only possible here once all earlier parts of the project are done.
- Drag a part to a different start date, or pull the left or right edge to make it shorter or longer.
With these adjustments only the part itself changes. The following parts stay on their dates, which can create a gap or an overlap. Completed parts and parts of a project that is locked cannot be dragged. There are no lines that connect parts to each other: the order of the parts determines the planning.
The agenda
Under Weergave (View), choose Agenda to see all delivery dates of parts as a list. The list is divided into Te laat (Late), Vandaag, Morgen (Tomorrow), Deze week (This week) and Later. With Periode you determine how far ahead you look. Clicking a row opens the project.
Download as PDF
- In the Tijdlijn view, click Download als PDF (Download as PDF).
- Choose Hele planning (Whole planning) or Eén project (One project). For one project you select the project in the list.
- If you choose the whole planning, switch on Afgeronde en gearchiveerde projecten meenemen (Include completed and archived projects) if needed. If this is off, the PDF only contains the running projects.
- Click PDF downloaden (Download PDF).
The PDF is landscape A3 and shows each project with its parts from start to finish, regardless of the period you chose on screen. The Planning tab of a single project also has a Download als PDF button. That one opens the print dialog of your browser, in which you save the timeline of that project as a PDF.
