The planning of a project consists of parts that are carried out one after another. On the Planning tab of the project you see the timeline at the top and below it the list Planning onderdelen (Planning parts). In that list you add parts, complete them and open them again. The Beamcore interface is in Dutch, so button and menu names are shown in Dutch with a translation.
The statuses of a part
- Open: not started yet.
- Bezig (In progress): work is in progress.
- Klaar (Done): completed.
- Geblokkeerd (Blocked): the part cannot continue.
For each part you also see whose turn it is, the duration in working days, the start date and the delivery date. If the delivery date has shifted, the original date is shown below it under Origineel gepland (Originally planned).
Adding a part
Above the list there are two ways to add a part.
- Nieuw onderdeel (New part) puts a part at the end of the planning. You fill in Naam (Name), Status, Toegewezen aan (Assigned to), Startdatum (Start date), Duur (werkdagen) (Duration (working days)), Opleverdatum (Delivery date) and optionally Notities (Notes). Duration and delivery date are calculated from each other, and a date at the weekend is moved to a working day.
- Tussen-taak invoegen (Insert in-between task) places a part in the middle of the planning. You choose a Referentie-onderdeel (Reference part) and under Positie (Position) whether the new part comes before or after it.
For an in-between task you also answer the question Hoe omgaan met de tijd? (How to handle the time?)
- Einddatum project schuift op (Project end date moves): the parts after it move back along with it.
- Tijd afhalen van een bestaand onderdeel (Take time from an existing part): under Tijd afhalen van (Take time from) you choose a part that becomes shorter. If that part does not have enough room, you get a notice and nothing is inserted.
You change the order by dragging parts in the list. Beamcore then plans the parts one after another again, keeping their duration.
Completing a part
- Click Markeer als klaar (Mark as done) next to the part.
- Check the date under Afgerond op (Completed on). By default this is today.
- If needed, add Afrond-notities (Completion notes) and Bijgevoegde bestanden (Attached files). With the Time tracking add-on you can also fill in Gemaakte uren (optioneel) (Hours worked (optional)).
- Click Afronden (Complete).
For this action you need the permission Planning beheren (Manage planning). Notes are added to the part with the date and your name, and the attachments are placed with the project files. The other users of the project receive a notification that the part has been completed.
What happens to the rest of the planning
- Done on time or early: the planning stays as it is. The following parts do not move forward. In the list you do see how many working days earlier the part was done.
- Done late: the overrun is added to the part itself. Beamcore then shortens the following parts, starting with the next one, so that the end date of the project stays the same as far as possible. Completed parts and parts where it is the customer's turn are never shortened. If the overrun does not fit completely, the rest of the planning moves back. After completing you see a notice with the number of working days of overrun.
If you want to continue earlier with the next part after an early completion, adjust the dates of that part yourself.
Reopening or editing a part
A completed part has the button Heropenen (Reopen). The part goes back to Open and the completion date is cleared. This does not change the dates in the planning.
With the permission to edit projects you can also edit a part. If you move the delivery date back while doing so, the following parts are shortened in the same way as when completing late. Every change is recorded, see Viewing and restoring planning history.
