Keeping track of stock and locations

Robin van Maasakker · 13 Oct 2026

With the Houtvoorraad & Materiaalplanning (Timber stock & Material planning) add-on (€139 per month) you keep track of which beams and sheet material are in stock, how much of it is reserved for projects and what is still free. You find everything in the Voorraadbeheer (Stock management) menu group. Viewing is possible with the Voorraad bekijken (View stock) permission; for all changes in this article you need the Artikelen en voorraad beheren (correctie, telling) (Manage items and stock: correction, count) permission. The Beamcore interface is in Dutch, so button and menu names are shown in Dutch with a translation.

The Overview page

Voorraadbeheer → Overzicht (Stock management → Overview) is your starting point. At the top are tiles such as Op voorraad (In stock), Vrij beschikbaar (Freely available), Bijna op (Almost out), In bestelling (On order) and Bij te bestellen (To be reordered). Below that you find:

  • Aanvullen (Replenish): items that have run out or are below their minimum, with a recommendation to reorder. What is already on order has already been deducted from it.
  • Materiaal per project (Material per project): ongoing projects with a final timber list.
  • Voorraad per kopmaat (Stock per cross-section): all active items with a progress bar that shows what is reserved and what is free. With Locatie (Location) you filter on a place in the workshop.
  • Onderweg (In transit) and Laatste mutaties (Latest movements): placed orders and what was most recently added or taken off. You can download the movements as a PDF.

Creating items

Under Voorraadbeheer → Voorraad (Stock management → Stock) you find every item: a combination of wood species, strength class, cross-section and stock length. Sheet material is in its own table below the beams.

  1. Click Kopmaat toevoegen (Add cross-section) to create a cross-section with several stock lengths in one go.
  2. Enter the wood species, strength class, thickness and width.
  3. Adjust the list of stock lengths and enter per length how many pieces are in stock. Empty or 0 creates the item without stock.
  4. Click Toevoegen (Add). A length that already exists is skipped.

With Nieuw artikel (New item) you create one single item. Via Openen (Open) you edit an item and see the tabs Mutaties (Movements) and Reserveringen (Reservations).

Correcting, counting and moving

Each item has three actions:

  • Corrigeren (Correct): enter the difference under Aantal erbij (+) of eraf (-) (Quantity to add (+) or remove (-)) and give a Reden (Reason). The reason is required.
  • Telling (Count): enter under Geteld aantal (Counted quantity) how many pieces are actually there. Beamcore books the difference.
  • Verplaatsen (Move): choose Van (From), Naar (To) and the Aantal stuks (Number of pieces). The stock itself does not change, only the place. This action is there as soon as you have created locations.

Deleting an item is only possible if there is no stock, reservation or order left on it.

Minimum stock

The status of an item is about the free stock: Op voorraad, Bijna op (free stock below the minimum) or Op (Out, nothing free any more). You set the minimum per item with Minimale voorraad (stuks) (Minimum stock, pieces). If you leave it empty, the company default applies; with 0 the item has no minimum. With Bestelniveau (stuks) (Order level, pieces) you determine up to how many the stock is replenished.

You set the default for the whole company under Bedrijf → Bedrijfsinstellingen (Company → Company settings), Houtvoorraad tab, under Standaard minimale voorraad (stuks) (Default minimum stock, pieces).

Locations

Under Voorraadbeheer → Locaties (Stock management → Locations) you record where the timber is. Locations are optional: without locations the stock works per item.

  1. Click Nieuwe locatie (New location).
  2. Under Onder (Under), choose the hall or rack that the location is in. Leave it empty for a hall. This is how you build up the levels Hal (Hall), Stelling (Rack) and Vak (Bay).
  3. Enter a Naam (Name) and a short, unique Code.

Per location you see what is there with Inhoud (Contents). With Tellen (Count) you enter per item how many pieces are at that place. A difference is first settled against Onbekend (Unknown, stock without a location); only what remains after that is booked on or off. You switch off a location you no longer use with Deactiveren (Deactivate): nothing new can then be booked to it, and what is there stays visible.

Stock that does not have a place yet is assigned on the Voorraad page with Onbekende voorraad toewijzen (Assign unknown stock).
