Beamcore has two overviews that help you decide what you need to do today. Mijn acties (My actions) collects everything that is waiting for you personally. Actieve taken (Active tasks) shows all parts that are currently running in the projects you are allowed to see. Both are in the menu under CRM. The Beamcore interface is in Dutch, so button and menu names are shown in Dutch with a translation.
My actions
Go to CRM → Mijn acties (CRM → My actions). The number next to the menu item is the total number of actions waiting for you. At the top of the page there are four tiles: Mijn taken (My tasks), Te beoordelen (To review), Vervallen facturen (Overdue invoices) and Feedback en vermeldingen (Feedback and mentions). Below them are the actions per group. A group is only visible if there is something in it and if your role has the corresponding permission.
- Mijn taken: planning parts that are assigned to you and that are late or have to be delivered within a week.
- Aanvragen te beoordelen (Requests to review) and Ontvangen offertes te beoordelen (Received quotes to review): for those who are allowed to review requests.
- Offertes te beslissen (Quotes to decide on) and Vervallen facturen: only with the Quotes & Invoicing add-on.
- Uren te beoordelen (Hours to review) and Mijn urenstaat (My timesheet): only with the Time tracking add-on and if the weekly closing is switched on for your company.
- Open tekening-feedback (Open drawing feedback): feedback that is still open.
- Je bent genoemd (You were mentioned): messages on a request in which someone mentioned you.
If an action belongs to a project, clicking the row opens that project.
When a part is listed under My tasks
A part only appears under Mijn taken if all of these conditions are met:
- the part is assigned to you and not yet Klaar (Done);
- the delivery date has passed or falls within seven days;
- all earlier parts of the same project have been completed;
- the project is not Afgerond (Completed) or Gearchiveerd (Archived).
Because of the third condition you only see work you can really start on. If you are still waiting for a colleague or for the customer, your part is not listed here yet.
Active tasks
Go to CRM → Actieve taken (CRM → Active tasks). For this page you need the permission Planning bekijken (View planning). An owner sees the parts of all projects. Other users see the parts of projects they are linked to and the parts that are assigned to themselves. The number next to the menu item is the number of parts that are late.
The page lists parts with the status Bezig (In progress) or Geblokkeerd (Blocked), and parts with the status Open that have a start date. Parts of completed and archived projects are not included. The list is divided into three groups, with the same counts as tiles at the top:
- Te laat (Late): past the deadline.
- Binnen een week (Within a week): the deadline falls in the next seven days.
- Komt eraan (Coming up): planned for later.
The fourth tile, Totaal actief (Total active), adds up all three groups. For each part you see the project, the start date and the deadline, the status and whose turn it is.
Searching and filtering
With Zoeken (Search) you search by project, task or customer. With Vanaf (From) and Tot (Until) you limit the list to a period. Wissen (Clear) resets all filters.
Assigning a part
With the permission Planning beheren (Manage planning) you assign parts directly from this list.
- For a part without an assignee, click + Toewijzen (+ Assign).
- Under Toegewezen aan (Assigned to), choose someone who is linked to the project.
- Click Opslaan (Save).
If a part is already assigned, click the name to change the assignment. Choose Niet toegewezen (Not assigned) to release the part again. If the right person is not in the list, link that person to the project first. Every assignment is recorded in the planning history.
